Manage a fleet account and its drivers

A fleet account groups a business customer's vehicles, drivers and billing activity. Fleet viewing, management and financial access can be granted separately, and the feature depends on your plan.

Create the account

  1. Open Workshop → Fleet → Add Fleet Account.
  2. Select the customer and enter Company Name.
  3. Choose Billing Cycle, add notes and check Active.
  4. Click Save and open the new account.

Add a driver and vehicle assignment

  1. Open the account's Drivers tab and select Add Driver.
  2. Enter Driver Name, phone and Assigned Vehicle.
  3. Complete the relevant driving-licence, Emirates ID, ITC permit and medical-expiry details when your workshop needs to track them.
  4. Check the dates and active state, then Save.
  5. Review the Vehicles tab to confirm the expected vehicle association.

These fields record information; they do not verify a document with an issuing authority. Keep access to identity information limited to the people who need it.

Review the fleet

Use Vehicles for vehicle and PM information, Work Orders for workshop visits, and Billing for financial activity if you have access. A Rate Card can hold a labour-rate override and parts discount. Review the actual job and invoice values before relying on the account default.

What happens next

The account gives your workshop a shared view of that fleet's activity. Adding a driver or changing a rate card does not create repair work, complete maintenance or collect payment.

Troubleshooting

If a vehicle is missing, check the driver/vehicle association and customer record. If Billing is hidden, ask for the appropriate fleet-financial access. Removing a driver removes the fleet association; do not use it to erase vehicle service or payment history.
