Read financial reports and account statements

Financial reports distinguish bills raised, money received, costs incurred and money paid. Choose the report that matches the question rather than treating every total as cash in the bank.
Profit & Loss
Open Reports → Profit & Loss, choose the period and read the notes. Revenue uses issued invoice amounts excluding recorded VAT. Expenses and other income also use their amounts excluding recorded VAT.
Revenue follows invoice dates while job costs can follow job dates. A repair crossing a month end can therefore place its cost and revenue in different periods. Pending expenses can count as costs before cash is paid.
Balance Snapshot
Open Reports → Balance Snapshot and choose the as-of date. Cash/bank, receivables and payables have their own calculation basis. Later-dated payments are not treated as if they happened before the selected date.
The stock-at-cost figure uses current remaining stock records; it is not a full reconstruction of physical stock for every historical date. Read that limitation before comparing old snapshots.
Payment Types
Open Reports → Payment Types and select the period. This groups recorded money movements by method and account. Deposit and gift-card redemption can settle an invoice without new cash, so they are not equivalent to a new cash receipt in this report.
Customer and supplier statements
- Open Customer Statement or Supplier Statement under Reports.
- Select the account and date range.
- Review opening balance, dated bills/receipts, running balance and ageing.
- Compare disputed entries with their original documents before exporting the statement.
Customer wallet top-ups are separate from unpaid invoices. Supplier liabilities include received purchases; pending or ordered purchases are not treated as received stock bills. Fleet consolidation should not be added again to workshop sales totals.
Troubleshooting
Check dates, issue/receipt status, voids and reversals first. Report access and cost/payroll access may hide some figures. A statement discrepancy should be investigated, not corrected by inserting an unrelated payment or editing a historical starting balance.
