Confirm a booking and turn it into a work order

Service Bookings holds appointment requests from the public booking form. Viewing bookings and managing them are separate permissions.

Review and confirm

  1. Open Operations → Service Bookings → Bookings.
  2. Find the request and check the date, slot, customer, vehicle and service description.
  3. Use Confirm when the appointment is accepted.
  4. Use Delay or Cancel if the visit cannot proceed as planned. Coordinate any replacement time with the customer.

Confirm attempts a WhatsApp update. Delay and Cancel attempt an SMS update. These actions depend on the connected messaging service; a saved status alone is not proof that the customer received a message.

Start the workshop visit

  1. Check that the booking has not already been converted and that no work order already represents this visit.
  2. Select Convert to Work Order.
  3. Review the result. Use Open Work Order to continue or Stay Here to return to bookings.
  4. Check the customer, vehicle, complaint, mileage and coverage on the created work order before adding repair work.

Conversion can find or create the customer and vehicle using the booking details. A typo or a different phone-number format can therefore lead to a duplicate record. Correct the resulting record before sending private customer information.

Share the booking form

Use Share booking link to obtain a link for a customer. The staff screen does not provide a separate verified New Service Booking form; the public form is the booking entry point.

What happens next

The booking becomes a converted visit linked to a work order. Inspection, estimates, technician work, invoicing and payment continue on the workshop records.

Troubleshooting

Do not repeatedly convert a booking after a slow response. Search Work Orders first: the current conversion flow needs extra care around retries. If Confirm is missing despite being able to view bookings, ask for booking-management permission.
