Add a vehicle and find its service history
EnglishUpdated Sep 13, 2026
Each vehicle belongs to a customer. Confirm both the owner and the plate before creating work, especially when several similar vehicles visit the workshop.
Add a vehicle
- Open Customers → Vehicles and search for the plate first.
- Select Add Vehicle.
- Select the customer, then enter Plate Number, Make and Model. These are required.
- Add the year, Vehicle Type, colour and Chassis No. (VIN) where known.
- Record the Odometer (km) and Fuel Type. For an electric or plug-in hybrid vehicle, complete the relevant battery information if available.
- Add Mulkiya Expiry, RTA Fitness Expiry, Next Service Date or Next Service Mileage (km) when your workshop tracks them.
- Click Save and reopen the record to check the details.
Do not guess missing identifiers or readings. The plate can contain up to 50 characters; make and model can each contain up to 100.
Review a vehicle
Open the vehicle to review its service history and available handover information. Use Edit Vehicle to correct current details. Updating a reminder field is different from configuring a recurring PM schedule.
Where a plate-scan control is available, treat recognition as a starting point. Check every recognised character and select the correct existing vehicle before continuing. A scan does not prove ownership.
What happens next
The vehicle can be selected on a work order for its customer. The fuel type helps staff identify when EV information is relevant. Use the actual odometer reading at each visit; changing the vehicle record alone does not perform or complete a service.
Troubleshooting
If a duplicate-plate warning appears, inspect the existing record before adding another. If Vehicle Types is visible but access is refused, ask an administrator to check your settings permissions. Deactivating a vehicle is different from deleting its service history.
