Turn inspection findings into an agreed repair

This workflow helps an advisor explain a problem, obtain agreement and hand the work to technicians. An inspection finding, a customer decision and a staff approval each mean something different.

Record and explain the findings

1. Open the work order and use Start inspection.
2. Choose the right checklist and record findings, measurements and suitable photographs.
3. Use Save while still preparing the record. Complete inspection freezes it; start a new inspection for a later re-check.
4. Use Share with customer after checking what the link exposes.

Prepare the quote

1. Use Estimate from findings when genuine items are marked Attention or Fail.
2. Open the resulting estimate. The generated lines need pricing: review their descriptions, hours and rates, then add appropriate parts or packages.
3. Save and inspect the full proposed amount.
4. Use Send and check whether the approval link was delivered or only copied.

If there are several quotes on the same visit, verify which work the customer is seeing before asking for agreement. When a quote changes, confirm that the customer's decision refers to the revised scope and amount.

Start authorised work

1. Review the customer's response and any separate discussion.
2. If the customer declines, discuss the next step; do not convert simply to clear a pending item.
3. Once agreed, use Convert to JO.
4. Review the job order, use Approve Cost through the authorised colleague and assign technicians.
5. Complete the work, perform quality review and use Approve Work before the normal invoice step.

What happens next

The agreed repair proceeds through the job workflow. Customer acceptance does not itself finish the repair, issue an invoice or take payment.

Troubleshooting

No flagged findings means there is nothing for the automatic estimate action to quote. A zero-priced generated task needs review, not immediate sending. If an approval page shows unexpected work, pause and ask the administrator to resolve the visit/quote association.
